4. Changing policy details and related procedures (Gakkensai and Futaibaiseki)

Students taking a leave of absence, withdrawing from the University, or transferring to another KyotoU faculty or graduate school must contact the Welfare Division of the Education Promotion and Student Support Department to make the necessary changes to their Gakkensai and Futaibaiseki policies.

Leaves of absence

Students (policyholders) who took a leave (or leaves) of absence for 365 days or longer* while being insured are entitled to a refund of the premium they paid for that period. The refund will not include any amount for a partial year, and no refunds will be made for periods during which the policyholder filed an accident insurance claim.

*These 365 days can be either consecutive or non-consecutive (they can, for example, comprise two separate six-month periods). Days of leave spanning multiple insurance periods, however, cannot be aggregated to constitute a one-year or longer period.

Amount to be returned

The refund amount will equal the total premium paid minus the amount corresponding to the actual insurance period(s) excluding the days of leave.

Examples of refunds for a year-long leave of absence

In the case of a Japanese student at the Faculty of Letters:

Premium paid (¥4,660) – Premium for the period of insurance excluding the days of leave (¥3,620) = Amount to be returned ¥1,040)

In the case of an international student at the Faculty of Letters:

Premium paid (¥3,300) – Premium for the period of insurance excluding the days of leave (¥2,600) = Amount to be returned (¥700)

Withdrawal

Students withdrawing from the University 365 days or more before the end of their policy term are eligible for a partial refund of the premium they have paid, as calculated below, from the provider, Japan Educational Exchanges and Services (JEES). In the case of mid-term withdrawal, however, there will be no refund for the academic year during which the individual left the University.

Examples of refunds for withdrawal at the end of the second year

In the case of a Japanese student at the Faculty of Engineering:

Premium paid (¥4,660) – Premium for the elapsed academic years (¥2,430) = Amount to be returned (¥2,230)

In the case of an international student at the Faculty of Engineering:

Premium paid (¥3,300) – Premium for the elapsed academic years (¥1,750) = Amount to be returned (¥1,550)

Internal transfers and other changes

Those who have transferred to another faculty or graduate school, or whose name, student number, or any other personal details have changed, need to update the information registered for their insurance policies accordingly.
