Infant Care Room

GEPC operates a day care room for the benefit of Kyoto U researchers and students whose preschool children are awaiting admission to nursery schools, so as to make it easier for users to work and study while raising small children.

The facility is managed by a private corporation, with a portion of the operating costs covered by the University.

Eligibility

The GEPC day care service is, in principle, available to Kyoto University researchers and students only (including the Japan Society for the Promotion of Science (JSPS) Research Fellows).


Remarks:

  1. Admission priority is given to newly-enrolled students, newly-appointed researchers, and those who were, due to unavoidable circumstances, unable to apply for April admission to public nursery schools.
  2. Those who do not meet any of the above (1) conditions may be granted admission if there is a vacancy.
Children may attend the Room through the final month before they turn 15 months.
Children

In order to be admitted, children must be healthy and aged between nine weeks and 15 months (under 15 months through the month of application).

(Except on national holidays and the Kyoto U foundation day (18 June), during summer and winter administrative holidays, and on other days on which the GEPC Director decides to close the facility)

Out-of-hours services may be provided between 8:00 and 9:00 and between 18:00 and 20:00 (extra fees required)

If a storm or emergency warning has been issued for Kyoto City as of 8:00, you are asked to not leave your child(ren) at the Day Care Room.  If the warning is issued during the day care period, please come and pick up your child(ren) as soon as possible.

1) In the cases of 2, 3, and 4, the specific days of the week on which the service is required must be specified in advance.

2)Fees shall be charged on a monthly basis. If the child is admitted to or leaves the facility mid-month, the fee for that month shall be calculated by multiplying the actual number of days the child attended by the daily rate of 2,500 yen (for students: 2,000 yen), tax included.

3) The out-of-hours nursery fee per child is:

  • Faculty 1,000 yen/30 minutes (tax included)
  • Students 800 yen/30 minutes (tax included)

Remarks:

  • Applications for the out-of-hours nursery service are accepted until 16:00 of the last business day before the intended day of use. Late applications will not be accepted.
  • Users who fail to pick up their child by 18:00 without having applied in advance for an out-of-hours service shall be charged a special fee of 1,500 yen per 30 minutes per child (tax included, no student discount available).
  • Users are responsible for supplying diapers, wipes, baby formula, snacks, meals, and other necessities; the nursery fee does not cover these items.
  • Users with multiple children attending the Day Care Room simultaneously are entitled to a 20% discount per child.
How to apply
  • To apply for admission, complete and submit the Advance Registration Form and Application Form to GEPC .
  • Those who have previously submitted the Advance Registration Form need only send the Application Form.
  • In addition, a copy of the Riyo Fuka Tsuuchi (a notice issued by the local welfare office that an application for admission to public day care has been rejected) needs to be submitted prior to the scheduled enrolment date.

From registration to admission

1. Initial registration

Complete the Advance Registration Form and submit it to GEPC .

A copy of the user's faculty or student ID card, along with the Notice of Employment or other documents issued by Kyoto University, must be attached to the form.

Submissions can be made by either email or post.

2. Application

Complete the Apprication Form and Medical Report Form and submit both to GEPC at least one month before the desired date of enrollment. Late applications may be accepted only under special circumstances.

Applicants must also submit a copy of the Riyo Fuka Tsuuchi prior to the desired enrollment date.

Those who wish to change their applications later may do so by completing and submitting the Request for Change of Use Form .

3. Results

Decisions to grant or decline applications shall be made by GEPC Director, and applicants will be notified in writing. Admission priority shall be given to those who require the service five days a week.

4. Rules and regulations

Users must comply with all applicable rules and regulations, including those specified in the Day Care Room Handbook, which shall be distributed to all users.

5. Changes and cancellations

Those who wish to change their applications after being granted admission may do so by completing and submitting the Request for Change of Use Form to GEPC .

Those who wish to change the date of enrollment after being granted admission must submit this form at least eight (8) business days in advance, as must those who wish to withdraw their child from care earlier than originally scheduled; a late submission may result in the user being charged for days on which the child would have attended according to the original schedule.

6. Payment

Fees must be paid by the specified due date via the method specified by Kyoto University.

Insurance

Damage resulting from the use of GEPC facilities shall be covered by Kokuritsu Daigaku Hojin Sogo Songai Hoken (general liability insurance for national universities).

Damage resulting from childcare operations shall be covered by the liability insurance held by the corporation that provides the care.

Handling of personal information

Personal information that GEPC collects as part of the admission process shall be used solely for the purposes of providing care services and contacting the applicants and users.
